Privacy

Ann Arbor Apps LLC operates hackathon.network (“Hackathon Network,” “we,” or “us”). This policy explains the information Hackathon Network handles when people discover, list, join, judge, or organize hackathons and use related support services.

Information we collect

Account and profile information. This may include your verified email address, display name, profile details, skills, interests, availability, links, sign-in provider identifiers, organization memberships, and permissions.

Event and participation information. This may include event details, registrations, application answers, team membership, invitations, project content, private evidence files, submissions, judging records, results, announcements, and organizer audit history.

Billing and support information. Stripe handles payment details. Hackathon Network receives customer, subscription, plan, invoice, transaction, status, and webhook references—not complete payment-card numbers. Cozable support requests may include your contact details, message, attachments, the page you were using, and limited product context needed to resolve the request.

Technical information. Our hosting, analytics, and security providers may process IP address, approximate location, browser and device information, request time, referring page, cookies or similar identifiers, and diagnostic or security logs.

How we use information

We use information to provide and secure the service; enforce event, organization, and object access; operate the directory, registration, teams, submissions, judging, results, billing, email, and support; detect misuse; troubleshoot incidents; communicate about the service; comply with legal and accounting obligations; and improve reliability. We do not sell personal information or use private project evidence for advertising or cross-context behavioral advertising.

Visibility and sharing

Profile, registration, and project information is private unless you or an authorized organizer publishes it through an available product control. Organizers can access information needed to run their events. Judges can access only assigned projects after accepting an invitation.

We use service providers including Microsoft Azure for the API, Azure SQL database, and private storage; Netlify for the public website; Cloudflare for DNS and traffic protection; Stripe for billing; SendGrid for transactional email; and Cozable for support. These providers process bounded information to perform their services. We may also disclose information when required by law, to protect people or the service, during a corporate transaction, or with your direction or consent.

Public directory submissions

Anyone authorized to represent a hackathon may submit it to the public directory. Event name, summary, theme, format, location, dates, prize description, event link, and code-of-conduct link may become public only after review. Organizer name and email are collected privately for verification, moderation, and follow-up and are not included in the public listing. Hosted-here events receive automatic promoted placement; independent community listings remain clearly identified.

Retention

Approved public listings remain available until they expire, are withdrawn, or are removed. Pending, rejected, expired, and withdrawn directory submissions—including private organizer contact details—may be retained for up to 24 months after the last moderation action to prevent abuse, resolve disputes, and avoid repeated review. Application request and diagnostic logs are generally retained for 30 days, with App Service file logs retained for up to seven days.

Account, event, team, project, judging, and support information is kept while needed to provide the service and for reasonable security, dispute, tax, accounting, and legal purposes. After a verified deletion request, eligible active records are deleted or de-identified within 90 days; limited copies may remain temporarily in protected backups until their normal recovery lifecycle expires. Billing, audit, fraud-prevention, and legal records may be retained longer where required or permitted by law.

Security

We use server-side authorization, managed identities, encrypted HTTPS transport, private project storage, scoped product permissions, audit records, and restricted server-only credentials appropriate to the information we handle. No online service can guarantee absolute security. Do not put passwords, payment-card numbers, secret keys, health records, or other unnecessary sensitive information into directory, event, project, or support fields.

Your choices and rights

Depending on where you live, you may request access, correction, deletion, a copy, portability, restriction, or objection regarding personal information and may have a right to appeal a decision. We may need to verify your identity and may retain information when law or a legitimate operational need permits. Send requests to privacy@hackathon.network or through Hackathon Network support. Include enough detail to identify the relevant account, event, project, or directory submission without sending unnecessary sensitive information.

Children

Hackathon Network is not directed to children under 13, and children under 13 may not create an account. Organizers serving schools or minors are responsible for required permissions, notices, age-appropriate practices, and safeguarding obligations.

Changes and contact

We may update this policy as Hackathon Network, our providers, or applicable laws change. We will post the revised policy with a new effective date and provide additional notice when required. Questions and privacy requests can be sent to privacy@hackathon.network.
